If you run a restaurant or café, you already know the two ways the clock quietly leaks money. The first is the line cook who clocks in fifteen minutes early “to get set up” — every shift, every person. The second is the punch that happens when the person isn’t even in the building yet: someone clocks a friend in from the parking lot, or punches from home before they leave.
Both are normal. Both are expensive. And most cheap time clocks make both easy, because they record when and where a punch happened and then let it through anyway.
This is a practical guide to closing those two gaps with a restaurant time clock you can actually control: clock-in time windows to stop early punches, a shared kiosk with a PIN so a wall tablet works for a whole crew, an office-IP lock so a punch only counts on your network, and rounding so the math is fair and consistent. We’ll use Punchwell — a self-hosted WordPress time clock — as the worked example, but the principles apply to any tool you’re evaluating.
Why restaurants are the hard case
A few things about restaurant work make time-clock discipline harder than in an office:
- High turnover. You’re onboarding constantly, so whatever you set up has to be simple enough that a brand-new hire can use it on day one without a login of their own.
- Shared devices. Nobody’s clocking in from their own laptop. It’s a tablet by the kitchen door or a terminal at the host stand — one device, a whole roster.
- Everyone’s early or late by a few minutes. Shifts don’t start on the dot. You need a humane way to handle the edges without paying for time nobody worked.
- The honest majority and the few who push it. Most staff aren’t trying to cheat. But “clock in when you get here” with no guardrails turns small habits into real payroll drift.
The goal isn’t to police good employees. It’s to make the clock reflect the schedule, so the few minutes here and there stop adding up against you — and so you’re never paying for a shift that didn’t actually start.
Gap 1: Early clock-ins — fix with a clock-in time window
The most common leak isn’t dramatic. It’s the steady drift of people punching in before their shift. A few minutes a person, a couple dozen shifts a week, and you’re paying for time that was never scheduled.
A clock-in time window fixes this directly. You configure a window around shift start — say, no earlier than 5 minutes before — and the clock simply won’t accept an early punch. The employee waits until they’re actually on the clock to be on the clock.
Two honest details worth knowing, because they matter in a real kitchen:
- The window is direction-aware: it limits clock-in, but it does not block clock-out. If someone stays late to finish a close, they can still punch out — you’re never trapping a worker’s hours behind a setting.
- It pairs with grace periods. If you want a small cushion for the staff who show up a few minutes early and stand around, set the grace, not a hard 0-minute wall. The point is to stop the systematic early punch, not to nickel-and-dime the dishwasher who’s keen.
In Punchwell the time window lives in the same enforcement settings as the office-IP lock, so you can run both at once: punches are only accepted on your network and only within the shift window.
Gap 2: Off-site and buddy punches — fix with an office-IP lock
The bigger leak is the punch that happens when the person isn’t there. A server clocks in a friend who’s running late. A prep cook punches from home before the drive in. This is buddy punching, and it’s the reason a time clock that only records a location isn’t enough — it’ll log the off-site punch and pay it.
The hard control is an office-IP lock. Flag an employee as office-only, and the clock will accept a punch only from an address you’ve allowed — your restaurant’s network. A punch from a phone at home or a buddy’s couch is refused server-side, not just flagged after the fact. Either the device is on your network, or the punch doesn’t happen.
This is the difference that matters when you compare tools. Most SMB time clocks — Homebase, Deputy, When I Work, Connecteam, Jibble — do GPS geofencing only, no IP lock. (These details are approximate and as of June 2026; confirm current capabilities with each vendor.) GPS needs an app on a personal phone, and it can be spoofed from a couch. An office-IP lock can’t be faked from home: there’s no app to install and nothing to fake. Buddy Punch and Zoho People are the SaaS exceptions that do ship true IP restriction — but they’re per-user, cloud-hosted products. A 25-staff shop runs roughly $1,520/yr on Buddy Punch (approximate, as of June 2026 — confirm current rates), and your data lives in their cloud either way.
Punchwell’s lock has unusual depth for the price:
- Single IPs, CIDR blocks (a whole range like
203.0.113.0/24in one entry), and address ranges — IPv4 and IPv6. - Company-wide, per-location, and per-employee allowlists, unioned together so adding an address only ever widens access. A second café location gets its own allowed IP; a manager who legitimately works from two sites can have a personal exception.
- Block / warn / flag modes — refuse the punch outright, or allow but record it, depending on how strict you want to be. (Warn and flag both allow the punch; only Block refuses it.)
- An optional blocked-attempt email to whoever runs the schedule, so an off-site attempt isn’t silent.
One honest note on the alternative: Punchwell also ships a GPS geofence if you want a softer, location-based check for, say, a patio or a food truck. But treat GPS as a deterrent, not proof of presence — it can be spoofed, and clock-out is never blocked by distance. The IP lock is the hard control.
Gap 3: The shared tablet — fix with a kiosk + PIN
Now the practical problem: in a restaurant, nobody’s logging into WordPress to punch. You want one tablet on the wall, and you want a new hire to be able to use it in their first ten minutes.
That’s what a kiosk clock is for. You enroll a single shared device, and staff clock in and out with a short code plus a 6-digit PIN — no individual WordPress logins on the device at all. New server starts tonight? They get a code and a PIN, not an account setup. It’s built for exactly the high-turnover, shared-device reality of a kitchen.
And it stacks with everything above: the kiosk’s own network has to match the IP allowlist for the device to work, so the wall tablet is the on-site proof. A PIN entered on a tablet that’s on your restaurant’s Wi-Fi is a punch you can trust; the same PIN can’t be used from home because the home network isn’t allowed.

Gap 4: Make the math fair — rounding
Once punches are honest, you want the resulting hours to be consistent — both so payroll is defensible and so nobody feels nickel-and-dimed. That’s what rounding does: snap punches to the nearest interval (commonly the nearest quarter-hour) so a 9:58 and a 10:01 both land on the schedule, and so the same rule applies to everyone.

- Rounding, grace periods, and debounce (so a double-tap on the kiosk doesn’t create two punches).
- Auto clock-out with a max-shift cap, for the line cook who forgets to punch out after a brutal Saturday.
- Overnight / cross-midnight shifts, so a close that runs past 12 calculates correctly.

A note on fairness: a few minutes per shift, across a full roster, over a year, adds up — but the way to recover it is consistency and honest punches, not aggressive rounding against your staff. Set the window and the lock so the clock matches reality, then round evenly. That’s defensible and it keeps morale intact.
Putting it together: a sensible default setup
For a single-location restaurant, a reasonable starting configuration looks like this:
- Mount one kiosk by the staff entrance; enroll it. Staff clock in/out with code + PIN.
- Add your restaurant’s public IP to the company allowlist and flag hourly staff as office-only. Now the kiosk works on-site and a home punch is refused.
- Set a clock-in window — e.g. no earlier than 5 minutes before shift start — to stop early punches, with a small grace period if you want one.
- Turn on rounding to the nearest 15 minutes and auto clock-out with a max-shift cap as a safety net.
- Enable the blocked-attempt email so you see off-site attempts without having to go looking.
Everything above is opt-in: on a fresh install, none of these settings change behavior until you turn them on, so you can roll them out one at a time and explain each to the crew.
